At Rellim Surveyors Ltd, we are committed to maintaining the highest standards of professionalism, transparency, confidentiality, and client protection in the use of Artificial Intelligence (“AI”) technologies within our organisation.

 

This statement explains how AI may be used within our business, the safeguards we have implemented, and the rights available to our clients.

 

Rellim Surveyors Ltd is regulated by the Royal Institution of Chartered Surveyors (RICS), and this policy is maintained in accordance with the RICS Professional Standard on Responsible Use of Artificial Intelligence in Surveying Practice (1st edition, effective 9 March 2026).

 

AI technologies may be used within our organisation to assist with:
 

  • Administrative efficiency 

  • Drafting support 

  • Workflow automation 

  • Data organisation 

  • Internal research assistance 

  • Quality control processes 

  • Client communication support 

  • Marketing and content generation 

 

AI is used only as a supporting tool and does not replace professional judgement, regulatory compliance obligations, or surveyor responsibility.

 

All professional opinions, advice, inspections, valuations, reports, notices, awards, and regulated surveying outputs remain subject to human oversight and professional review by appropriately qualified personnel.

 

Transparency and Client Awareness

We believe clients should understand when AI may form part of our operational processes.

 

Where AI-assisted systems are used in connection with client matters:
 

  • A qualified professional retains responsibility for all regulated outputs 

  • AI-generated content is reviewed prior to issue 

  • AI tools are not permitted to make autonomous professional decisions 

  • AI is not relied upon as a substitute for inspection, professional assessment, or regulatory judgement 

 

Our use of AI is intended to improve efficiency, consistency, communication, and client experience while maintaining professional standards.

Data Protection and Confidentiality

Protecting client confidentiality remains a fundamental obligation of our practice.

Rellim Surveyors Ltd maintains strict safeguards regarding the use of data within AI systems.

 

We confirm that:

Client confidential information is handled in accordance with UK GDPR and Data Protection legislation 

 

  • We do not knowingly permit client data to be used to train public AI models 

  • We seek to minimise data exposure wherever reasonably practicable 

  • Sensitive information is restricted and controlled internally 

  • Access to AI-assisted systems is limited to authorised personnel 

  • Staff using AI-assisted systems receive internal guidance and training relating to confidentiality, professional responsibility, and responsible AI usage 

  • AI-assisted systems used by the practice are subject to reasonable due diligence regarding security and data handling practices 

  • Where appropriate, information may be anonymised, redacted, or limited before being processed through AI-assisted systems.

Human Oversight and Professional Responsibility

AI tools cannot replace professional expertise.


Accordingly:

 

  • Final responsibility always remains with Rellim Surveyors Ltd and the appointed surveyor 

  • Professional judgement is exercised independently of AI-generated suggestions 

  • Regulated outputs are reviewed before release 

  • AI outputs are not accepted automatically without verification 

  • Clients retain the right to request clarification regarding professional conclusions 

  • AI outputs are not relied upon in isolation and do not replace professional inspection, analysis, statutory compliance obligations, or professional judgement.

Client Rights and Opt-Out Requests

We respect that some clients may prefer not to have their matter processed using AI-assisted systems.

 

Clients may request that AI-assisted processing is limited or excluded from their matter where reasonably practicable.

 

Such requests should be submitted in writing to:

Upon receipt, we will review the request and explain:
 

  • What operational limitations may arise 

  • Whether certain services or efficiencies may be affected 

  • Any practical implications for turnaround times or administration 
     

Opting out of AI-assisted administrative processes will not affect your statutory or regulatory rights.

Limitations of AI

Whilst AI technologies may improve efficiency, they can also present limitations including:
 

  • Inaccuracies 

  • Misinterpretation 

  • Incomplete outputs 

  • Bias or contextual misunderstanding

  • AI outputs are not relied upon without review 

  • Critical decisions require professional verification 

  • Site inspections, evidence gathering, and professional analysis remain essential components of surveying practice
